Who Can Submit?

Anyone may submit an original article to be considered for publication in The SUNY Journal of the Scholarship of Engagement: JoSE provided he or she owns the copyright to the work being submitted or is authorized by the copyright owner or owners to submit the article. Authors are the initial owners of the copyrights to their works (an exception in the non-academic world to this might exist if the authors have, as a condition of employment, agreed to transfer copyright to their employer).

General Submission Rules

Submitted articles cannot have been previously published, nor be forthcoming in an archival journal or book (print or electronic). Please note: "publication" in a working-paper series does not constitute prior publication. In addition, by submitting material to The SUNY Journal of the Scholarship of Engagement: JoSE, the author is stipulating that the material is not currently under review at another journal (electronic or print) and that he or she will not submit the material to another journal (electronic or print) until the completion of the editorial decision process at The SUNY Journal of the Scholarship of Engagement: JoSE. Formatting Requirements

The SUNY Journal of the Scholarship of Engagement: JoSE has no general rules about the formatting of articles upon initial submission. There are, however, rules governing the formatting of the final submission. See Final Manuscript Preparation Guidelines for details. Although bepress can provide limited technical support, it is ultimately the responsibility of the author to produce an electronic version of the article as a high-quality PDF (Adobe's Portable Document Format) file, or a Microsoft Word, WordPerfect or RTF file that can be converted to a PDF file.

It is understood that the current state of technology of Adobe's Portable Document Format (PDF) is such that there are no, and can be no, guarantees that documents in PDF will work perfectly with all possible hardware and software configurations that readers may have.

Rights for Authors and Digital Commons @ Cortland

As further described in our submission agreement (the Submission Agreement), in consideration for publication of the article, the authors assign to Digital Commons @ Cortland all copyright in the article, subject to the expansive personal--use exceptions described below.

Editorial Policies for The SUNY Journal of the Scholarship of Engagement: JoSE

The following policy statement uses the publication guidelines set out by Academic Journals "Journal Policies", www.academicjournals.org/editorial_policies.

The policy describes guidelines that direct JoSE's publication process. Specifically, JoSE adopts and strives to adhere to the following standards and requirements:

  • COPE - Committee on Publication Ethics
  • ICMJE - International Committee of Medical Journal Editors
  • STM - International Association of Scientific, Technical & Medical Publishers
  • WAME – World Association of Medical Editors

Definitions

Authorship

An author is an individual who has significantly contributed to the development of a manuscript. ICMJE recommends that authorship be based on the following four criteria: 1. Substantial contributions to the conception or design of the work; or the acquisition, analysis, or interpretation of data for the work; AND 2. Drafting the work or revising it critically for important intellectual content; AND 3. Final approval of the version to be published; AND 4. Agreement to be accountable for all aspects of the work in ensuring that questions related to the accuracy or integrity of any part of the work are appropriately investigated and resolved.

Acknowledgement

Individuals who participated in the development of a manuscript but do not qualify as an author should be acknowledged. Organizations that provided support in terms of funding and/or other resources should also be acknowledged.

Changes in authorship

Whenever there is a need to make changes in the authorship of a manuscript or a published article, the changes will be implemented according to COPE specification. Only corresponding authors can make request for a change in authorship. Contact the editors to request a Changes in Authorship Form.

Submission of Manuscript

Authors should read the “Instruction for Authors” on JoSE’s homepage before making a submission. Manuscripts should be prepared according to the style and specifications set out in those instructions. Authors listed on the manuscript should have met the requirements for Authorship specified above. Where possible, specify the contribution of each of the authors. All authors should approve the final version of the manuscript prior to submission. Once a manuscript is submitted, it is therefore assumed that all authors have read and given their approval for the submission of the manuscript. Contact information of all authors should be stated on the manuscript in this manner: Surname/Other names, affiliation, emails, and phone/fax numbers. Declaration of Conflicts of Interest should be stated in the manuscript.

Conflict of interest

“Conflict of interest (COI) exists when there is a divergence between an individual’s private interests (competing interests) and his or her responsibilities to scientific and publishing activities such that a reasonable observer might wonder if the individual’s behavior or judgment was motivated by considerations of his or her competing interests” WAME. Authors should disclose all financial/relevant interest that may have influenced the development of the manuscript. Reviewers should disclose any conflict of interest and if necessary, decline the review of any manuscript they perceive to have a conflict of interest. Editors should also decline from considering any manuscript that may have conflict of interest. Such manuscripts will be re-assigned to other editors.

Confidentiality

A submitted manuscript is a confidential material. JoSE will not disclose submitted manuscript to anyone except individuals who partake in the processing and preparation of the manuscript for publication (if accepted). These individuals include editorial staff, corresponding authors, potential reviewers, actual reviewers, and editors. However, in suspected cases of misconduct, a manuscript may be revealed to organizations that may require it for the resolution of the misconduct.

Misconduct

Misconduct constitutes violation of this editorial policy, journal policies, publication ethics, or any applicable guidelines/policies specified by COPE, WAME, ICMJE, and STM. Any other activities that threaten/compromise the integrity of the research/publication process are potential misconducts. Suspected cases of misconduct will be investigated according to COPE guidelines.

Correction and retraction of articles

Corrections may be made to a published article with the authorization of JoSE’s managing editors. Editors will decide the magnitude of the corrections. Minor corrections are made directly to the original article. However, in cases of major corrections, the original article will remain unchanged, while the corrected version will also be published. Both the original and corrected version will be linked to each other. A statement indicating the reason for the major change to the article will also be published. When necessary, retraction of articles will be done according to COPE retraction guidelines.

Attribution and Usage Policies

Reproduction, posting, transmission or other distribution or use of the article or any material therein, in any medium as permitted by a personal-use exemption or by written agreement of Digital Commons @ Cortland, requires credit to Digital Commons @ Cortland as copyright holder (e.g., Digital Commons @ Cortland © 2024).

Personal-use Exceptions

The following uses are always permitted to the author(s) and do not require further permission from Digital Commons @ Cortland provided the author does not alter the format or content of the articles, including the copyright notification:

  • Storage and back-up of the article on the author's computer(s) and digital media (e.g., diskettes, back-up servers, Zip disks, etc.), provided that the article stored on these computers and media is not readily accessible by persons other than the author(s);
  • Posting of the article on the author(s) personal website, provided that the website is non-commercial;
  • Posting of the article on the internet as part of a non-commercial open access institutional repository or other non-commercial open access publication site affiliated with the author(s)'s place of employment (e.g., a Phrenology professor at the University of Southern North Dakota can have her article appear in the University of Southern North Dakota's Department of Phrenology online publication series); and
  • Posting of the article on a non-commercial course website for a course being taught by the author at the university or college employing the author.

General Terms and Conditions of Use

Users of the Digital Commons @ Cortland website and/or software agree not to misuse the Digital Commons @ Cortland service or software in any way.

The failure of Digital Commons @ Cortland to exercise or enforce any right or provision in the policies or the Submission Agreement does not constitute a waiver of such right or provision. If any term of the Submission Agreement or these policies is found to be invalid, the parties nevertheless agree that the court should endeavor to give effect to the parties' intentions as reflected in the provision, and the other provisions of the Submission Agreement and these policies remain in full force and effect. These policies and the Submission Agreement constitute the entire agreement between Digital Commons @ Cortland and the Author(s) regarding submission of the Article.
